Automating asset management at an elite university
The University of Southern California (USC) is one of the world’s leading private research universities. With 44,000 students, the University generates $8 Billion of economic impact for Los Angeles County and the State of California.
Before implementing Oomnitza, the Office of the Provost at USC was struggling to keep track of assets. Manually cataloging and inventorying assets across 30+ departments was creating a huge administrative burden. The lack of an automated process also limited the organization’s reporting and efficiency.
The IT Department within the Office of the Provost implemented Oomnitza and immediately saw their manual workload to catalog assets decline. “Oomnitza helps us automate tasks that used to be manual in nature,” says Ken Shibata who manages the Help Desk. “Instead of spending our time typing out information about each asset, we have a holistic view of all the assets across 30 different departments.”
As a large consumer of Dell computers, USC takes advantage of Oomnitza’s integration with Dell to automatically pull machine specifications and warranty information. Utilizing this out-of-the-box connector, Oomnitza enriches the asset records and again eliminates manual labor. Matthew Dixon, Computer Services Consultant, explains, “The integration with Dell is a huge benefit for us. We used to have to hunt around for information around the specs for different machines; now it is automatically in Oomnitza.”
USC also leverages Oomnitza’s Zendesk connector which enables the organization to easily assign service tickets out of Oomnitza and to see detailed asset information in Zendesk tickets.
When asked to name some of his favorite features, Matthew Dixon mentions the history view. “I really enjoy the history feature which shows all the changes to an asset since its purchase. Scanning through the history gives you a quick and easy way to see everything that has ever happened with that asset.”
Oomnitza’s flexible architecture works well for an IT organization that has to manage assets across many different departments. It’s easy for Matthew or Ken to see all assets under management or to switch to view the assets of one department in particular. This context is very important as each department has its own budget and so every asset must be correctly assigned to the appropriate department.
“If we didn’t have Oomnitza, we’d have to go back to manually entering lots of information on every asset,” explains Ken Shibata. “We’d have spotty, incomplete data that we wouldn’t be able to report against. Worse, we’d all be spending hours and hours every day on manual data entry. Oomnitza saves us from this repetitive work and helps our organization run more smoothly.”
